This policy explains what information Kooltel PBX handles to provide your cloud business phone system, and the choices you have.
Information we handle
- Account & extension data — your organization and user details, extension numbers, display names, and login credentials (passwords stored hashed).
- Calling data — call detail records (numbers, times, and durations) needed to route calls, provide voicemail, and support billing. We do not listen to your calls; call audio is not recorded unless you enable a recording feature.
- Device provisioning — the MAC address and configuration of desk phones and apps you provision, so they can register to the phone system.
How we use it
We use this information solely to operate the phone service: to register your devices, route and connect calls, deliver voicemail and messaging, provision phones, provide support, and bill for service. We do not sell your personal information or use call metadata for advertising.
Sharing
Calls are carried over regulated telecommunications networks and connected through our carriers to complete them. We share information with service providers that help us operate the platform under confidentiality obligations, and as required by law or lawful request (including for emergency services such as 911).
Retention
We retain account and call-record data for as long as your service is active and as required by telecommunications regulations, then delete or anonymize it. To ask about your data, contact us below.
Security
Management interfaces use TLS, credentials are stored hashed, and provisioning is served over encrypted connections. No system is perfectly secure, but we take reasonable measures to protect you.
